Privacy Policy

This Privacy Policy explains how Infinity Creative Lab (“Infinity Creative Lab”, “we”, “us”) collects, stores, and uses personal data when you use AceSAM, our software asset management product. It is written so that our processing of account data — in particular company details, name, and phone number — is disclosed, consented to at signup, and aligned with applicable data protection law, including India’s Digital Personal Data Protection Act, 2023 (DPDP Act) where it applies.
By ticking “yes” on the signup form, you give specific, informed, and unconditional consent for AceSAM to store and use the personal data described here to provide the service. You can read our Terms of Service and Trial Policy for the contract that governs the product.
1. Who we are
Infinity Creative Lab, the operator of AceSAM, is the data fiduciary for the personal data of people who create AceSAM accounts (for example, the workspace owner who signs up). Company website: infinityxtech.com. When you enter customer, employee, or other third-party contacts into your workspace, you are responsible for that data and for having a lawful basis to store it. We process that workspace data on your instructions to operate the product.
2. Data we store
When you sign up, we store:
- Company details — company name, workspace type (partner or company), plan or trial status, and related organisation records.
- Name — first name and last name of the account holder, and names of additional users you add.
- Phone number — the phone number you provide at signup, and phone numbers of contacts you later add in the workspace.
- Email address — used as your login identifier and for operational messages.
- Account credentials — a hashed password; we do not store your password in plain text.
- Consent record — the time you accepted this Privacy Policy and confirmed that we may store company details, name, and phone number.
When you use AceSAM, we also store workspace data you enter, which may include customer company names, tax numbers, addresses, contact names, phone numbers, email addresses, software vendors, products, license numbers, subscription dates, notification templates, and delivery logs. We may store technical data such as session cookies, login timestamps, and basic server logs needed to operate and secure the service.
3. Why we use this data
We use the data above to:
- create and administer your workspace and user accounts;
- identify you and your organisation, and contact you about the account, trial, or service;
- provide software license tracking, dashboards, reports, and expiry alerts;
- send a verification code when you start a trial or reset your password;
- send email or WhatsApp notifications that you configure, using stored names and phone numbers;
- provide in-product help and onboarding;
- secure the service, prevent abuse, and meet legal obligations;
- improve AceSAM, including diagnosing faults and understanding how features are used.
We do not sell your personal data. We do not use signup data for unrelated third-party advertising.
4. Consent at signup
Creating an AceSAM account requires a clear “yes”. The signup form asks you to confirm that you agree AceSAM may store your company details, name, and phone number, and that you accept this Privacy Policy and the Terms of Service. That tick is an affirmative action. We record the time of acceptance with your account. If you do not tick yes, we will not create the account and we will not store those details as an AceSAM user.
You may withdraw consent later by requesting deletion of your account and workspace data. Withdrawal does not affect processing that was lawful before you withdrew, and we may retain information where the law requires it (for example, to complete a security investigation or keep billing records if you later subscribe).
5. How we share data
We may share data with:
- infrastructure and email or messaging providers who process data only to deliver AceSAM;
- your own workspace users, according to the permissions you assign;
- professional advisers or authorities if required by law or to protect AceSAM and our users.
If you use WhatsApp notifications, messages are opened in WhatsApp using the phone numbers stored in your workspace. WhatsApp is operated by a third party under its own terms and privacy policy.
6. Retention
We keep account and workspace data while your organisation uses AceSAM. After an account is closed, we delete or anonymise personal data within a reasonable period unless we must keep it longer for legal, security, or dispute-resolution reasons. Trial workspaces that are never converted to a paid plan may be removed after inactivity.
7. Security
We use reasonable technical and organisational measures to protect personal data, including hashed passwords, access controls by organisation, and HTTPS when the service is served over TLS. No method of storage or transmission is completely secure. You should use a strong password and limit access within your workspace.
8. Your rights
Subject to applicable law, you may request access to the personal data we hold about you, correction of inaccurate data, erasure, and withdrawal of consent. Workspace owners can update company details, names, and phone numbers in AceSAM. To request deletion of an account, email info@acesam.com. We may need to verify that the request comes from you or an authorised person.
If the DPDP Act applies, you may also have the right to grievance redressal. We will acknowledge privacy requests and respond within a reasonable period.
9. Children
AceSAM is a business product. It is not directed at children. Do not create an account if you are under 18.
10. International processing
AceSAM may be hosted on servers in India or another country. By using the service you understand that your data may be stored and processed in the location of our hosting provider, with safeguards appropriate to that processing.
11. Cookies
We use essential cookies and similar technology for login sessions, security (including CSRF protection), and remembering that you are signed in. These are required to operate the product. We do not use third-party advertising cookies on AceSAM.
12. Changes
We may update this Privacy Policy. The “Effective” date at the top will change when we do. Material changes will be posted on this page. Continued use of AceSAM after an update means you accept the revised policy for further processing, except where the law requires a fresh consent.
